Executive Assistant

Department: Development/Operations

Reports to: President/CEO

Status: Part-Time Hourly (Non Exempt) 24 – 28 hours each week

Job Purpose:

Ronald McDonald House Charites® of Eastern Wisconsin, Inc. (RMHC) is a premiere Wisconsin nonprofit established to keep families together and promote the health and well-being of children. RMHC’s Executive Assistant is a critical role and provides administrative support to the President/CEO, Board of Directors, Committees, as well as internal teams. This position will allow for flexibility in the days and/or hours worked, although it is critical that supporting the administrative needs of Board of Director Meetings and other key Committee meetings be the priority. The Executive Assistant will take pride in this key role of supporting RMHC with clear written and verbal communication, embracing technology to be efficient and effective, and serving as an ambassador to the Organization.

Job Responsibilities:

President/CEO and Compliance:

  • Support President/CEO with administrative needs, including in-person and virtual meeting scheduling, and other tasks as directed
  • Prepare reports, letters, and other documents, including both paper and electronic file management
  • Understand RMHC Global’s RADAR intranet and update Chapter documentation, including bringing new RMHC developments to Pres/CEO’s attention
  • Assist in annual Chapter RADAR reporting
  • Update Microsoft Office Outlook distribution lists, Send Word Now members and other electronic maintenance needs

Board of Directors and Committees:

  • Support Board of Directors and Board Committee activities, including preparation of board-related documents, onboarding materials, meeting scheduling and support
  • Work closely with Pres/CEO and Board Chair to prepare all Board Meeting materials, set-up/clean-up and follow-up tasks, including preparation of Board minutes
  • Maintain Board of Directors and Board Committee attendance and other Board-related policies, procedures and administrative materials

Internal RMHC Administrative:

  • Support staff administrative needs, including preparation of staff meeting agendas and materials, and paper/electronic document and file organization
  • Coordinate staff meeting set-up, refreshments, and clean-up
  • Maintain internal personnel-related lists, development/learning report, and other documents, as needed
  • Ensure operation of equipment (printer, postage machine, projector, etc.) by completing preventive maintenance requirements, calling for repairs, maintaining equipment inventories, and troubleshooting errors
  • Prepare employee onboarding documents
  • Collaboratively work with Operations and Development Teams to update Operations Manual, Crisis Management Plan, Employee Handbook, Send Word Now, and all other key internal RMHC documents, including electronic file maintenance
  • Support RMHC staff engagement programs, including Core Value Call-Out Program and staff birthday cards/gifts
  • Collaborate with Team to plan and support RMHC staff retreat and holiday party
  • Manage office supply needs, including ordering supplies, maintaining office supply inventory, front office volunteer supplies, and keeping an organized Office Supply Room
  • Update phone templates, as needed
  • Other tasks as directed


The background and experience of candidates should demonstrate:

  • Passion for the mission of RMHC
  • Excellent interpersonal, written, and verbal communication skills
  • Strong time management skills and ability to multi-task and prioritize work
  • Ability to communicate professionally with a diverse audience of staff, Board of Directors, and other friends of RMHC
  • Proficient computer skills, including Microsoft Office Suite (with an emphasis in Word and Outlook) and Survey Monkey
  • Strong organizational skills with attention to detail
  • Able to manage sensitive information in a confidential manner
  • Display, embrace, and demonstrate a “can do” attitude with the ability to work collaboratively with others
