Part-Time Family Room Coordinator

Department: Operations

Reports to: Family Room Manager

Status: Part-time Hourly $16.00/hour

Available shifts: Alternating Saturdays with one flexible weekday shift.

In August of 2021, Rogers Behavioral Health (RBH) opened the Ladish Co. Foundation Center that includes the Rogers Research Center, Rogers Behavioral Health Foundation, a chapel and meditation garden for spiritual care, community rooms, a boardroom and the Ronald McDonald Family Room®. The Family Room is a welcoming, home-like space where parents and families visiting a loved one at Rogers can watch a movie, enjoy a snack, play a game, or even take a nap while coping with the emotional demands of having a loved one in treatment.

Job Description:

The Family Room Coordinator is responsible for overseeing the operation of the RMHC Eastern Wisconsin Family Room (in Oconomowoc). The Family Room is open 9:00 a.m.-5:00 p.m. 7 days/week. The Family Room Coordinator will report to the Family Room Manager.

Responsibilities:

  • Ensure Family Room guests, visitors, and volunteers are provided with a clean, comfortable, and safe environment in accordance with established operating policies and standards, while always leading with compassion
  • Responsible for activities related to serving Family Room guests, including check-ins and check-outs, family tours, assisting family needs during their visit, and addressing any situations that arise while on-duty
  • Full understanding of both RMHC and Rogers policies and procedures, enforcing and explaining policies and procedures to guests when necessary
  • Responsible for proper documentation and reporting throughout shift, including shift notes and database entry; ensuring accuracy, confidentiality, and security of sensitive information
  • Responsible for clear and concise communication with hospital staff and families as to who may utilize the Family Room
  • Attend Family Room staff meetings and trainings
  • Establish a professional and friendly relationship with all volunteers
  • Ensure all volunteer duties are completed, stepping in to complete the duties if a volunteer is not available
  • Lead Family Room tours for donors and visitors, as requested
  • Greet and steward Family Room snack/meal groups as needed
  • Other duties as assigned by the Family Room Manager

Qualifications:

  • Passion for the RMHC mission and core values
  • High School degree and two years college experience or equivalent management experience
  • Work experience in a non-profit, social-service organization, customer service or other related employment

Part-Time House Manager

Department: Operations

Reports to: Director of Family Services

Status: Part-time $16.00/hour, Non Exempt

Available shifts: Evenings and weekends (10-25 hours per week part-time)

Job Purpose:
RMHC is looking to enhance its House Manager Team. House Managers are part of the Family Services Team, which is responsible for all activities related to serving guest families and providing them with family programs, support and a room to stay while their child is undergoing medical treatment at a nearby hospital. The House Manager works in cooperation with other RMHC staff and volunteers to provide superior care, service and stewardship of our guests and visitors under the direction of the Director of Family Services, always with a “mission first” focus.

Responsibilities:
• Promote an atmosphere of warmth respect and privacy for all RMHC guest families served
• Full understanding of RMHC policies and procedures, including Operations Manual, and enforcing and explaining policies and procedures to guests when necessary
• Responsible for all facets of the guest family experience – check-ins, check-outs, assisting guest families with needs during their stay, receiving donations, and addressing challenging guest family situations in a professional manner, always being focused on the safety, security, and well-being of guest families, staff, and volunteers
• Ensuring the cleanliness and readiness of rooms and general facility
• Responsible for proper documentation and reporting throughout shift, including hospital referrals, guest family files, shift notes, and database entry, ensuring accuracy, confidentiality, and security of sensitive information
• Responsible for clear and concise communication with hospital social workers and families as to room availability and referral/stay process
• Attend regularly scheduled House Manager meetings and trainings (approximately bi-monthly)
• Proficient understanding of House alarm systems and emergency procedures with the ability to manage House emergency situations in a calm, professional manner
• Establish a professional and friendly relationship with House volunteers while delegating any Family Services tasks, as necessary. This includes supporting the Family Meal Program Coordinator and Family Meal Program during evenings and weekends through stewardship of program volunteers
• Other duties as assigned by the Director of Family Services

Housekeeping Specialist

Department: Operations

Reports to: Director of House Operations

Status: 90 day trial period – Full-Time (35 hours/week) (Non Exempt) $16/hour

Job Purpose:

Ronald McDonald House Charities® (RMHC®) is a premiere Wisconsin nonprofit established to keep families together and promote the health and well-being of children. The Housekeeping Specialist will be responsible for providing a clean and healthy environment for our guest families. A minimum of 1+ years of experience with residential or hospitality housekeeping is preferred. Bilingual abilities are a plus. Assists Operations team and volunteers in daily activities to ensure a timely completion of special tasks as needed. The flexibility to work long hours, holidays and weekends, as necessary. Basic computer skills and a valid Wisconsin driver license required.

Responsibilities:

  • Clean and prepare guest rooms to RMHC standards for guest arrival
  • Clean and maintain designated common areas
  • Perform laundry duties as needed
  • Stock and maintain housekeeping and linen supply rooms
  • Ensure a high level of customer service is performed at all times
  • Assist operations team with special projects as needed
  • Assist guests with requests and questions as necessary
  • Report any damages or repairs needed to management
  • Report all lost and found items to management
  • Support the mission of RMHC

Qualifications and skills:

  • High School Diploma or General Education Degree (GED) required
  • 1 year of experience with residential or hospitality housekeeping preferred

President/CEO

The President/Chief Executive Officer (Pres/CEO) provides both the strategic vision and overall leadership for the organization, always with a “mission first” focus. The Pres/CEO leads and manages fundraising, board development, program management, budget and fiscal oversight, human resources and marketing, guided by the mission and values of Ronald McDonald House Charities of Eastern Wisconsin, Inc. (RMHC-EW). The Pres/CEO is responsible for implementing the mission and policies of the Board of Directors, assuring proper resources are in place to operate the House, maintaining a supportive environment for guest, volunteers and staff, and ensuring a positive image of the charity in the community. • Bachelor’s degree

Position Requirements:

People and Productivity
• Uses the strategic plan to create an annual operating plan with input of staff and clearly articulates annual goals.

• Works to ensure that all policies and procedures are well-documented, legally sound and evaluated on a regular basis.

Finance, Programs and Operations
• Evaluates all aspects of the organization’s operations, programs and personnel on a regular basis and makes changes as necessary.
• Sets clear operational goals and standards to ensure the needs of families are being met and that RMHC-EW’s facilities are maintained at the highest levels within budget limitations. Works closely with the Director of House Operations to ensure that proper maintenance and compliance testing is met.
• Works closely with Finance Manager to stays current on all financial, reporting and accounting issues that affect the budget, audit, IRS 990 and reporting to funding sources, including approval of invoices and payroll.
• Possesses a thorough understanding of all aspects of the organization’s financial condition, budget and investments, working with the Finance Committee Chair to ensure Finance committee meetings are run efficiently with both tactical and strategic discussions.
• Works with staff to create, revise and maintain programs/operations that support families and engage/inspire donors.

Fundraising Leadership
• Supervises the Director of Philanthropy to ensure that the organization is operating a creative, successful, well-organized and diversified fundraising and stewardship program, including but not limited to annual, major/planned giving, events, and grants from individuals, corporations, and foundations.
• Works in collaboration with the Director of Philanthropy to identify, cultivate and solicit large gifts and to develop strategies to earn greater involvement from existing donors.
• Builds and nurtures relationship with McDonald’s and local McDonald’s Owner/Operators toward a productive, dynamic and mutually beneficial partnership.

Communications, Marketing and Outreach
• Collaborates with Director of Events & Marketing to develop a communications and marketing strategy that is clear, measurable and uses the latest technologies the organization can afford to fundraise, keep stakeholders informed, promote the organization and educate the general public.
• Seeks opportunities to address audiences to educate them about RMHC-EW, encourage contributions and advocate on behalf of the organization.

Board Relations
• Serves as the key staff member managing the work of the Board of Directors, including strategic planning, membership, meeting agendas, retreats and other work.
• Cultivates a strong relationship with each board member to ascertain and maximize each person’s skill set for the benefit of RMHC-EW and to assist in developing skills necessary for effective Board participation.
• Assists Board leadership in developing a culture of significant personal giving and the importance of Board involvement in fundraising success.
• Prepares reports for the Board that are relevant, clear and informative.
• Staffs Board committees in collaboration with the appropriate staff members.
• Keeps the Board informed of legal or accounting issues requiring Board action and on issues related to RMHC-EW programs, operations personnel or funders.

Operational Excellence
• Provides creative leadership and direction to staff and advice to the Board to further develop and implement the overall vision, structure and direction as a national leader in serving children and families.
