Job Summary:

The Ronald McDonald House is seeking a dedicated, organized and detail-oriented Administrative Assistant to join our team. This individual will play a key role in supporting the daily operations of the Ronald McDonald House, ensuring smooth administrative processes, and helping provide comfort and care to families with seriously ill children. The ideal candidate will have strong communication skills, a passion for helping others, and a commitment to the mission of Ronald McDonald House Charities. This position will reside at the front desk of the main entrance and will work collaboratively with our volunteer Office Assistants.

Job Responsibilities:

  • Monitor Door Access: Oversee access control to ensure safety and security within the Ronald McDonald House.
  • Staff Administrative Support: Perform clerical duties as necessary. These may include making copies, assisting with postage meter, shredding files, answering and directing calls, etc.
  • Lanyards & Guest Badges: Manage the distribution and tracking of lanyards and guest badges for staff, visitors and volunteers.
  • Community Room Support: Assist with the management, cleanliness and organization of the Community Room for events and guest use. Ensure all conference rooms are stocked.
  • Vendor Support: Serve as a liaison with vendors while they are in the House.  Granting access to primary areas of need in restricted areas.
  • Key Management: Oversee the distribution, tracking and retrieval of keys for vendor and group volunteer House access.
  • Family Services Support: Assist Family Services with the day-to-day arrival of guest families.
  • Merchandise Support: Assist the Marketing and Events team through the inventory, stocking and sale of the Houses’ merchandise.
  • Mail and Packages distribution: Organize and support mail distribution and packaged distribution for the House.
  • Copier Management: Ensure copiers are stocked, functioning and properly maintained.
  • Holiday Stewardship & Coordination: Support holiday stewardship of in-kind donations for the holiday season and in-kind year-round activities.
  • Manage In-Kind Data Entry: Track and enter all in-kind donations into the House’s system for accurate reporting.
  • Emergency Management: Support emergency management procedures, including coordination and communication during emergencies.
  • Staff Celebration: Oversee and coordinate the celebration of staff members’ accomplishments, milestones and positive peer feedback.
  • Assist with special projects and other tasks as assigned by management.

These responsibilities encompass a broad range of administrative and operational duties essential for the efficient functioning of the Ronald McDonald House.

Qualifications:

  • Passion for the mission of RMHC.
  • Flexible availability that includes: Daytime weekdays. Evenings and weekends a plus.
  • High school diploma required; Associate’s or Bachelor’s degree in business administration, nonprofit management or related field preferred.
  • Proven experience in an administrative role, preferably in a nonprofit or healthcare setting.
  • Excellent verbal and written communication skills.
  • Strong organizational skills and the ability to manage multiple tasks simultaneously.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Canva) and office equipment (copiers, fax machines, etc.).
  • Strong attention to detail and the ability to maintain confidentiality with integrity.
  • Ability to work both independently and as part of a team.
  • Compassionate and empathetic demeanor, with a strong desire to help others.
  • Experience in customer service or direct support roles is a plus.
  • Strong time management skills and ability to multi-task and prioritize work
  • Ability to communicate professionally with a diverse audience of staff, Board of Directors, and other friends of RMHC

Physical Requirements:

  • Ability to lift up to 25 pounds occasionally.
  • Ability to sit, stand or walk for extended periods.
  • Occasional travel between Ronald McDonald House locations for events and meetings, if applicable.
